Endocrinologists are at the core of solving the most pressing health problems of our time, from diabetes and obesity to infertility, bone health, and hormone-related cancers. The Endocrine Society is the world's oldest and largest organization of scientists devoted to hormone research and physicians who care for people with hormone-related conditions. Our inclusive community is made of scientists, physicians, educators, nurses, and students in 122 countries. The Program Manager, Diversity Programs is responsible for the following 3 main project areas: Program Management, Event Management, and Application/Abstract Management. This includes managing two of the Endocrine Society's programs designed to provide leadership training and mentorship to early career researchers and physicians from underrecognized communities in science and medicine (known as the Future Leaders Advancing Research in Endocrinology (FLARE) and the Excellence in Clinical Endocrinology Leadership (ExCEL); staffing the Society's Committee on Diversity & Inclusion; and supporting other activities of the Diversity Programs & Professional Development Department. Under the direction of the Director of Diversity & Professional Development Programs, the Manager will be responsible for implementing all aspects of project management for the programs from the application process to in-person workshops to reconciling the budget. The position requires solid project management skills; attention to detail and organization; the ability to work across departments in a collaborative manner to support the programs; and the ability to work closely with Society committees and work groups for their subject matter expertise, program guidance, and support. What you'll bring to the job:

  • Bachelor's Degree required. Minimum of five years' experience in program/project management. Previous association experience desired. Strong committee management experiences a plus.
  • Excellent oral and written communication skills.
  • Excellent interpersonal skills required to work with a diverse group of stakeholders (staff, committee members, learners, collaborators, etc.).
  • Excellent organizational skills with strong attention to detail.
  • Strong ability to prioritize multiple tasks, meet deadlines, and work well under pressure.
  • Advanced skills in Microsoft Word, Excel, and Outlook. What you'll own: Project Management
    • Manages all aspects of the Future Leaders Advancing Research in Endocrinology (FLARE) and Endocrine Excellence in Clinical Endocrinology Leadership (ExCEL) programs. Duties include implementing the application review and selection processes, corresponding with applicants and awardees, executing program workshops and all in-person networking events and meetings.
    • Works with Principal Investigators (PIs) to secure funding for FLARE. Collaborates with our Development and Strategic Partnerships team to identify and secure funding opportunities to support ExCEL.
    • Ensures grant activities are in accordance with funders policies and criteria, collects post events and meetings data and outcomes, drafts interim reports and presentations.
    • Maintains and updates content for program websites.
    • Collaborates with our marketing department to create production schedules and track deliverables of marketing materials and web content. Also collaborates with marketing team to develop robust marketing plans to increase awareness of programs, publish accurate program information on website and other marketing materials.
    • Manages the processing of honoraria and travel reimbursements.
    • Manages the reconciliation process with our finance department.
    • Updates all program and award information on the Society's website and within the Society's database, including participation and award codes.
    • Responds to applicant and participant inquiries and provides periodic updates.
    • Manages and ensures data quality for key stakeholder reporting and research activities for DEI initiatives. Society Member Engagement
      • Serves as staff liaison to the Committee on Diversity and Inclusion (CoDI), which oversees, proposes, and evaluates a portfolio of programs and services tailored to meet the specific DEI needs to those in endocrinology.
      • Manages committee meetings and conference calls, including developing agendas, preparing, and distributing materials, attending meetings, and drafting minutes and writing reports for submission to the Society's governance. Other Duties
        • In collaboration with CoDI, supports governance with the identification of diverse candidates for committee appointments, Laureate Award nominations and faculty recommendations for the Annual Meeting scientific program.
        • Under the direction of the Director of Diversity & Professional Development measures key performance indicators for DEI professional development for underrepresented groups in the endocrine community.
        • Collaborate with other program managers to develop and operationalize a new standardized process to incorporate DEI metrics and reporting in other Society programs such as awards programs, faculty identification, and professional development in alignment with the Society's DEI business initiatives. What you'll do well:

As a contributor, develop a new product, service, method, or approach. Sponsor the development of new products, services, methods, or procedures. Propose new approaches, methods, or techniques. Develop better, faster, or less expensive ways to do things. Work cooperatively with others to produce innovative solutions.
          • Ensure the effective and efficient use of association resources. Develop and effectively manage departmental/project budgets. Demonstrate knowledge of appropriate business practices and procedures, ability to allocate resources, plan procurement, and oversee budgets and contracts to ensure fiscal responsibility.
          • Ensure that one's own and other's work, information, and reports are complete and accurate. Carefully prepare for meetings and presentations. Follow up with others to ensure that agreements and commitments have been fulfilled. Develop and use systems to organize and keep track of information or progress.
